Responsibilities:

Daily day-to-day functions of the office from answering the phone, mail processing, data entry to file organization.
Assist clients/customers with the auction process, such as consignments, brokerage, registration and item pick up.
Assist with onsite/offsite auctions, pertaining to all aspects of the office functions.
Accurate inventory input to auction platform.
Create and maintain accurate excel spreadsheets of inventory pre/post auctions.

BOOKKEEPER / AUCTION ASSISTANT

Bookkeeper Responsibilities

Accounts Payable:

Consignor Payments

Review Consignor Settlements and prepare for payment. Review commissions, fees, credits, consignor expenses, receipt of titles, contract terms, etc.
Make appropriate changes to Settlement Statement, if necessary.
Obtain approval for settlements from Industrial Operations Manager.
Process Consignor Settlements, Print Checks from Auction Software (WaveBid).
Put together package for signature (check, settlement statement showing approval, consignor letter, and any other documentation required) and mail to consignors.
Prepare Check Register and give to Accounting for entry to QuickBooks.
Manage any issues regarding Consignor Payments or Questions from Consignors regarding Settlement Statements.

Other Accounts Payable

Process all Payable Expenses for the Industrial Division
Post Expense Invoice to QuickBooks payables. Pay those that can be paid with company credit card. Issue check request for all other payments.
Enter all Credit Card Receipts from Industrial Personnel to QuickBooks.

Accounts Receivable:

Manage payment collections from Buyers for Auctions and Brokerage.
Produce weekly Aged Accounts Receivable report showing outstanding payments due.
Manage collection process (customer contact, dunning letters, etc.).
Receive incoming wire payments and apply to outstanding invoices.
Receive payments (cash, checks, credit card receipts) paid invoices from counter clerks.
Deposit cash and checks received.
Process buyer payments from floor planning and finance companies.
Create Daily Financial Report of Payments Received with breakdown by payment type and send to corporate accounting for entry into QuickBooks.
Live Onsite Auctions: Assist counter clerks with payment acceptance and any problems or issues that may arise.
Process and manage any issues, refunds, adjustments to Buyer Invoices.

Sales Tax:

Review sales tax charged for each Customer make changes if necessary.
Manage Tax Exempt Certificates and apply to customer files.
Prepare Sales Tax Reports.
File and pay state sales tax, based on requirements for each State or locality.

Auction Event P&L:

Prepare Preliminary Profit & Loss for each Auction event and have ready for management and post-sale meeting.
After the auction sale is closed out prepare a final P&L of the event for management including any lingering A/R and A/P issues.
Prepare any additional Financial Reports as requested and needed.

FORECLOSURE SPECIALIST / TAX SALE COORDINATOR

Responsibilities:

Manage a portfolio of foreclosure transactions ensuring that each foreclosure follows a strict process pipeline and timeline, defined by law, from beginning to final resolution.  This includes management and payment of transactional expenses, legal counsel communication, client communication, client billing and pipeline management.
Reviews queue status daily to ensure timelines/milestones are completed in a timely manner and in accordance with legal and client requirements.
Proactively identifies and resolves issues that hinder performance.
Provides prompt quality service to all clients, customers and business partners.
Adheres to departmental, local, state and federal compliance and regulatory guidelines.
Ensures performance meets or exceeds industry standards in addition to reviewing and understanding the foreclosure timelines and related documents.
Organizes quarterly Delinquent Tax Property Auctions for the City of Richmond and periodic auctions for other municipalities.
Develops a close working relationship within Motley’s divisions and be able to promote a high level of service.

Qualifications:

Excellent understanding of the foreclosure processes and documentation.
Previous bankruptcy, mortgage servicing, real estate or law firm experience.
Proficient computer skills including Word, Excel, and working with databases.
Excellent organizational skills, attention to detail, and accuracy.

SEO SPECIALIST

This role is responsible for managing all SEO activities such as content strategy, link building, and keyword strategy to increase ranking on all major search networks for the Motleys family of companies’ websites. Currently, the websites include: motleys.com, fortistrustees.com, richmondaa.com, motleyslogistics.com, svnmotleys.com, car-rac.com. There are at least two additional websites we plan to build in the near future. This role reports to the Director of Marketing and Communications and works closely with the Digital Marketing Specialist, division leaders, and the marketing department.  

Primary Responsibilities

• Continually review websites for consistency and accuracy.

• Perform ongoing keyword discovery, expansion, and optimization.

• Optimize copy and landing pages for search engine marketing.

• Work with the marketing department to drive SEO in content creation and content programming.

• Develop and implement link-building strategy.

• Research and analyze competitor advertising links.  

• Work with web developers to ensure SEO best practices are properly implemented on newly developed code.

Asset Recovery

RAA provides financial institutions who may repossess cars, trucks, boats, campers, construction equipment and heavy trucks with the ability to receive and store those assets pending redemption and offer them for sale through our public auction. RAA can also advance payment for these vendor provided services and apply them to auction proceeds, providing a consolidated accounting for each asset.

Redemptions

RAA handles the redemption of repossessed vehicles for banks, credit unions, and finance companies. Vehicle storage, collection of amounts due, vehicle release and remittance of proceeds to the finance company are all provided.
 

Floor Planning

RAA’s Dealer Registration service can arrange floor planning through a variety of recognized companies. We can assist you with selecting the company that is best for you.
 

Transportation

RAA provides or can arrange pickup and delivery transportation services for virtually any need. Local, regional and long distance requests are accommodated, as well as the transportation of specialty vehicles (boats, campers, heavy trucks and construction equipment).
 

Condition Reports

Vehicle history reports are run on vehicle models up to 6 years old through Auto Check to identify major damage, mileage or title problems.
 

Reconditioning

Clean vehicles allow both buyers and sellers to fully appreciate the value of their assets. As a result, RAA offers a wide variety of reconditioning services for all vehicle types. Your RAA representative is prepared to discuss available options from a simple wash to full detailing.
 

De-Indentify Vehicles

RAA’s staff can remove signage and logos, typically found on fleet, corporate and municipal vehicles, at the seller’s request.
 

Mechanical and Body

RAA’s experienced technicians can provide minor mechanical and body repairs, as well as windshield repair and replacement. Estimates are presented to the client for approval before work is performed. Major repairs and warranty work can be arranged on request.
 

Bidding Options

RAA allows buyers and sellers to be an auction participant by attending the live auction held each Friday or via the internet, phone or proxy bid. Ask us what will work best for you.
 

Travel Accomodations
